Property management is not rocket science, but it can be confusing and frustrating if your rental property is not set up correctly from the start. Our approach to management is derived from the “surrounding yourself with experts” concept. Although many of us are very handy and knowledgeable in many areas, it is impossible to be an expert in everything. I am sure many of you have a savvy accountant to handle your taxes, or good financial planner to assist with retirement. We take the same approach at Another Option Realty & Property Management. We have 3 distinct departments or experts to handle your property:
Marketing your property is the most important step of the management process. You will work with a knowledgeable Realtor Associate / Property Manager to ensure your property is priced right and rented quickly. Your Manager is an expert with tenant screening (review credit, criminal, eviction history and verify their job and income) and will draft the lease and customize it to you and your property. Once a lease is complete, your manager will perform the tenant “move in” process. This is process is critical to a successful rental. Your Manager will review the important aspects of your property and the lease with the Tenant, your Manager will also take approximately 100-150 pictures of your property during the “move in”. This “move in” process memorializes the condition of your property and sets the tone of what we expect from the Tenant.
Rent and Lease Enforcement:
Now that the tenant is in the property our goal is to enforce the lease and make sure rent is paid. Our dedicated collection staff is monitoring this daily. Our policy is as follows : rent is due by the 3rd day of the month, if not paid, a late fee is assessed on a daily basis. If rent is not received by the 10th day we will send a notice to “Pay or Quit”. If rent is not received by the 15th an eviction will be filed. Our strict 15 day policy ensures that a tenant will never get more than 60 days behind on rent and with a 1 ½ month security deposit, your loss will be minimal. This Department will also assist your Realtor Associate / Property Manager with lease enforcement. Anytime a tenant violates a lease a “Notice to Cease” will be sent, this sets the stage for potential eviction, but more importantly sets the tone with the Tenant.
Service and Maintenance Department:
When a problem arises with you property, our dedicated service staff is there with a solution. Your tenant can call in a maintenance request or enter it through their on-line portal 24 hrs a day 7 days a week. Once a request is sent you get an email about the maintenance issue. This alert is just an fyi, our service department will follow through on all request and investigate the problem and offer a solution for the repair. Many cases the maintenance issue is the tenant responsibility, our staff will educate the tenant and ensure they pay for the repair.
Our service department is licensed, insured and registered general contractor, we can build you a house or simply unclogged a drain. Our expertise is with renovating the property between tenants, we understand this is an investment property; the repairs need to be quick, inexpensive and good quality.
Online Owner Portal Access: One of the most exciting features is our “Another Option – Online Owner Portal”. Once you receive the login Id and password you will be able to monitor your rental property activity. You can view month end reports, monitor if rent was paid, monitor maintenance request and bills, set up your bank information to allow us to transfer rental funds to your account, view year end reports to assist with tax filing. We will even attach actual copies of the leases and documents that pertain to your property. We want you to have all the information at your finger tips!!
